Have you received an email from us?

Have you received an email from us without knowing us beforehand? This section explains where your address came from, why we wrote to you and how to stop further messages. It provides the information required by Article 14 of the GDPR.

Where the address comes from. We use only public business information: the email address on your organisation’s own website. Sometimes we find your organisation through a public register or public industry directory. We do not buy address lists and never make up an email address.

What we keep about you. Your organisation’s name, location and website, and a business email address. We also keep a contact person’s name and role if these appear on your website. We record which message we sent, when we sent it and whether we received a reply.

Why we may do this. We approach organisations that fit our product. Our legal basis is our legitimate interest (Article 6(1)(f) of the GDPR). Article 11.7(3) of the Dutch Telecommunications Act also applies to email sent to business addresses. Prior consent is not required in that case. This applies where the organisation itself made the address public for the purpose of being contacted. We therefore use only addresses on your own website. Every message lets you tell us to stop. We take three things into account: the data is business information, only a few messages are involved, and one word is enough to stop them.

How to stop messages. Reply with “stop” or “nee” (no). You will receive no further messages from us. We block only the replying address, not a colleague’s address. Your colleague may have a different preference. If you want us to leave your entire organisation alone, say so in your reply. We will do that.

How long we keep it. We retain this business information for as long as we approach organisations in your sector. If you request erasure, we remove your data from our system. We keep only your email address on an opt-out list, so we do not accidentally contact you again.

Your rights. You may object to these emails. We always honour that objection. You may also request access, rectification, erasure, restriction or portability of your data. Email alex@genantis.com. You may lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). We do not sell this data or share it with others. We send the email itself through our email provider.

Which data do we use, and for what?

Why may we use this data?

We use your data to answer your enquiry and perform the agreement. We have a legitimate interest in securing the site and maintaining our records. Statutory retention periods also apply to our records.

How long do we keep your data?

Who do we share data with?

The site is hosted by Cloudflare. We use Google Workspace for email. We have agreements with these companies about protecting your data. We do not sell data. We share it with others only if the law requires us to.

Your rights

Would you like to know what data we hold about you, have it changed or have it erased? You may request access, rectification, erasure, restriction or portability, or object to processing, where those rights apply to your situation. Email alex@genantis.com. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Changes

If the site gains a different form, a different measurement or a new data flow, we update this notice first. The version and date are always shown at the top.

Your short request

The short form sends your organisation, business email and expected handover month (or unknown) to the existing Genantis EU intake database at Cloudflare. Alex handles it in the private requests inbox. Receipt confirms storage; it does not mean an email notification was sent. We use this data to handle your request at your request. Requests older than 90 days and previous daily abuse hashes are removed at the next valid submission. No project documents are sent through this form.

23 October 2026: added the short request route. Existing outreach and project-document information is unchanged.
